Recurring invoice: how to automate regular invoicing

24 July 2026 · 4 min read

A recurring invoice is an invoice that goes to the customer regularly with the same content, for example monthly. It suits ongoing charges such as monthly services, rents and maintenance agreements. When you set up a recurring invoice once, you don't have to remember to make the same invoice again every month. Here is how it works.

Who a recurring invoice suits

Recurring invoicing, also called continuous invoicing, suits anything billed at regular intervals with the same amount or almost the same content. If the same invoice repeats month after month, making it by hand each time is needless work.

  • Monthly services and memberships
  • Rents and usage fees
  • Maintenance and support agreements
  • Repeated deliveries to the same customer

A recurring invoice or a one-off

Not everything is worth invoicing as recurring. A one-off job or a single purchase is invoiced as an ordinary sales invoice. A recurring invoice fits when the same charge continues predictably: the agreement is in force until further notice or for a fixed term, and the amount stays the same or almost the same. If the charge varies a lot from one time to the next, make the invoice separately each time, so the content stays correct.

How a recurring invoice saves time

When the invoice content and the customer stay the same, recurring invoicing removes the manual work. You don't rewrite the same invoice, you don't forget a month and you don't muddle the numbering. Invoicing happens on the agreed schedule, and you can focus on the work. Regular invoicing also evens out cash flow, because charges go out on time.

How to set up a recurring invoice in Haimoo

On the paid tier of Haimoo Invoice you set up a recurring invoice once, and it handles the regular invoicing for you:

  • Make the invoice normally: choose the customer and add the lines
  • Mark the invoice as recurring and choose the interval, for example monthly
  • Set the start date and, if needed, the end
  • Check the content, and the same invoice repeats on the chosen schedule

Keep recurring invoices up to date

Even though a recurring invoice runs by itself, it is worth checking now and then: has the price or content changed, does the agreement continue. When a customer's agreement ends, you stop the repetition, so no needless invoices go out. From payment tracking you see that the recurring invoices are also paid on time.

Recurring invoicing is the easiest way to handle regular charges without monthly manual work. Recurring invoices are part of the paid Haimoo Invoice at 11.95 euros a month plus VAT, and you can start invoicing for free and upgrade when you need continuous invoicing.
