Invoice template: a free sample or a real invoice?

An invoice template is a ready structure you fill in. The web is full of free Word and Excel templates, but they carry a catch: the template doesn't calculate VAT, doesn't number your invoices in sequence and doesn't remember what an invoice must contain. A better way is to make a real invoice in a program where the required fields are already there. That way the invoice looks right and has the required details from the very first one.
What an invoice is made of
An invoice is not a free-form message. It has a fixed structure, and these parts belong on every sales invoice:
- A heading and an invoice number: a running number that uniquely identifies each invoice
- Seller details: name, address and business ID, plus a VAT identifier if the sale is subject to VAT
- Buyer details: the customer's name and address
- Invoice lines: what you sold, with quantity and unit price per line
- VAT: the price without tax, the tax rate and the amount of tax, itemised
- Total: the amount without tax plus value added tax
- Payment details: due date, reference number and bank account number
- Dates: the date of issue and, if needed, the delivery date
What an invoice looks like: a sample structure
Picture an A4 page. Top left are your own details and logo, top right the invoice number and dates. Below that the customer's name and address. In the middle is a table where each row is one thing you sold: description, quantity, unit price, tax rate and line total. Under the table is a summary: the amount without tax, VAT itemised and the total payable shown large. At the bottom are the payment details: account number, reference and due date. That is an invoice in a nutshell, and every field has to be in place.
Why a ready template is not enough
A Word or Excel template looks easy, but every invoice has to be filled in by hand. Numbering relies on memory, VAT is worked out on a calculator, and one wrong formula throws off the total. As invoices pile up, the manual work starts to cost time and cause mistakes.
- The invoice number doesn't run, or the same number repeats
